VP Communications Job Description


The Vice President for communications shall keep the records of all business meetings of the PMIWIC and meetings of the Board, and maintain the Chapter’s Internet Operations

Role and Responsibilities

  • Maintain custody of the approved bylaws, articles of incorporation, charter agreement and of amendments thereto and board policies, committee charters, and all other non-financial records for the chapter.
  • Coordinate and distribute board meeting agendas
  • Maintain all meeting minutes – must document in accordance to specific parliamentary procedures as mandated by their local government.
  • Prepare and publish newsletters and other communications
  • Maintain contact lists of members and constituents
  • Work as web administrator to ensure website functionality
  • Work as web administrator to resolve web site issues
  • Notify membership not less than the period stated in the chapter bylaws before annual general meetings
  • Work with chapter content managers to ensure current information is available to members and the public
  • Circulate board agenda before the meeting to all the members
  • Provide records to members and outside organization that request information
  • Provide all notifications to the members and outside organizations that request information
  • Provide support for membership communication
  • Prepare for, procure and distribute chapter stationary and printed materials
  • Develop and implement succession and transition plan
  • Web Site Management
  • Maintain membership content on the Web Site
  • Maintain the membership records of the chapter
  • Provide communication list/member updates to officers

Qualifications and Education Requirements

  • Member in good standing of PMI and PMI-Western Idaho Chapter
  • Ultimate team player – as a leader and team member
  • Must be willing to commit to attending Board and Membership meetings, responding to emails and participating in chapter operations as appropriate.
  • Willingness to learn email marketing program and technical aspects of the Web Site
  • Willingness to respond to Web Support questions any day of the week at any time of the day

  • Proficient use of word processing, spreadsheet, and presentation tools
